Privacy Policy

This policy explains what personal information we collect, how we use and protect it, who we share it with, and the privacy rights available to you.

1Overview

1.1 Scope of this Policy

This Privacy Policy explains how The Reputation Management Company ("we," "us," or "our") collects, uses, discloses, and protects personal information when you visit reputationmanagement.co or engage our reputation management, content removal, and related services. It also describes the choices and rights you have regarding your information. We designed this policy to be plain-spoken and to reflect how the website and our systems actually operate.

1.2 Our Approach

We collect only the information we need to respond to inquiries and deliver our services, we transmit it securely, and we do not sell it. We aim to align our practices with major privacy frameworks, including the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA), the EU and UK General Data Protection Regulation (GDPR), Brazil’s Lei Geral de Proteção de Dados (LGPD), and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

2Information We Collect

2.1 Information You Provide

When you submit our contact form or request a free brand audit, we collect the details you choose to share with us, which typically include:

  • Your name
  • Your email address
  • Your phone number (if provided)
  • The name, brand, or URLs you would like us to review
  • Any message or context you include in your request

You are not required to provide this information to browse the website, but we need it to respond to your request or provide services you ask for.

2.2 Information Collected Automatically

If, and only if, you consent to analytics cookies, we collect limited usage information through Google Analytics 4, such as pages viewed, approximate (city/region-level) location derived from a truncated IP address, referring source, device and browser type, and general interaction patterns. Until you grant consent, analytics run in a cookieless, consent-denied mode under Google Consent Mode v2, and no analytics or advertising cookies are stored on your device.

3How We Use Your Information

3.1 Purposes of Processing

We use the information we collect to:

  • Respond to your inquiries and provide the brand audit or services you request
  • Communicate with you about your request, engagement, or account
  • Operate, maintain, secure, and improve our website and services
  • Understand aggregate website performance (only with your analytics consent)
  • Comply with legal obligations and enforce our agreements

3.2 Legal Bases (GDPR/UK GDPR)

Where the GDPR applies, we rely on the following legal bases: your consent (for analytics and marketing cookies); performance of a contract or steps taken at your request (to respond to and deliver services); our legitimate interests (to secure and improve our website, where not overridden by your rights); and compliance with legal obligations.

4How We Share Information

4.1 We Do Not Sell Your Personal Information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising in exchange for value, as those terms are defined under the CCPA/CPRA. We have not done so in the preceding twelve months.

4.2 Service Providers

We share information only with vendors that help us operate, and only as needed for them to perform services for us. These include our website hosting and infrastructure provider (Vercel), our customer relationship management platform (HighLevel), which stores and organizes the inquiries you submit, and, where you have consented, Google Analytics for aggregate measurement. Form submissions are transmitted to our CRM over an encrypted HTTPS connection using server-side credentials that are never exposed to your browser.

4.3 Legal and Safety Disclosures

We may disclose information if required by law, subpoena, or other legal process, or where we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.

5Data Retention and Security

5.1 Retention

We retain personal information for as long as necessary to fulfill the purposes described in this policy, to provide services you have requested, and to comply with our legal, tax, and accounting obligations. When information is no longer needed, we take steps to delete or de-identify it.

5.2 Security

We use reasonable administrative, technical, and organizational safeguards to protect personal information. All traffic to and from this website is encrypted in transit with TLS, and the credentials used to transmit form submissions to our CRM are stored securely on the server and are never exposed in the browser. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

6Your Privacy Rights

6.1 Rights Available to You

Depending on where you live, you may have some or all of the following rights regarding your personal information:

  • The right to know or access the personal information we hold about you
  • The right to request correction of inaccurate personal information
  • The right to request deletion of your personal information
  • The right to opt out of the sale or sharing of personal information (note: we do not sell or share)
  • The right to data portability, where applicable
  • The right to withdraw consent to analytics or marketing cookies at any time
  • The right not to receive discriminatory treatment for exercising your rights

6.2 How to Exercise Your Rights

You can submit a privacy request through our Data Rights Request page or by emailing info@reputationmanagement.co. We will verify your request and respond within the timeframes required by applicable law. You may use an authorized agent to submit a request on your behalf where the law permits.

7Cookies, Analytics, and International Transfers

7.1 Cookies and Consent

We use a consent-based approach to cookies. Essential functionality is always available, while analytics and advertising storage remain denied by default until you choose "Accept all" in our cookie banner. You can change your choice at any time. For a detailed breakdown of the cookies we use, see our Cookie Policy.

7.2 International Data Transfers

We are based in the United States, and our service providers may process information in the United States and other countries. Where we transfer personal information from the EEA, the UK, or other regions, we rely on appropriate safeguards such as Standard Contractual Clauses where required.

7.3 Children’s Privacy

Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children under 16. If you believe a child has provided us information, please contact us and we will delete it.

8Changes and Contact

8.1 Changes to this Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, provide additional notice.
